Faculty Renewal, Promotion, and Tenure
The following office is responsible for the accuracy of the information contained in this policy:

The following procedures shall apply to faculty personnel cases involving renewal of term appointment and/or promotion in academic rank processed under the terms of Article VII of the By Laws:

A.   At the conclusion of faculty personnel cases, if the President wishes to offer a renewal of term appointment and/or promotion in academic rank, a formal offer of renewal and/or promotion shall be sent by the President to the faculty member.  This will be the only offer or notice of renewal and/or promotion and will require the faculty members’ formal acceptance by completing an endorsement on a copy of the offer letter.

B.   When the formal acceptance by the faculty member is received, the department will complete the necessary on-line form to confirm the transaction through channels to the Human Resources Office, with the original copy of the faculty member’s acceptance.  Deans and Directors will be responsible for ensuring that acceptances are received and transactions submitted in a timely manner.

C.   Upon receipt of the on line transaction and a copy of the acceptance, the Human Resources Office will prepare any necessary paperwork for System Administration in Albany.  Copies of these documents will be placed in the faculty member’s official personnel file.

In faculty personnel cases involving a recommendation for tenure, the President shall notify the faculty member of his/her decision to recommend tenure or deny tenure.  If the President recommends granting tenure, the Human Resources Office will prepare the required UP-3 form for the President’s signature and for submission to the Chancellor.  Upon approval by the Chancellor of the President’s recommendation to grant tenure, the faculty member will receive a formal offer of tenure from the Chancellor.  This offer requires a formal acceptance by the faculty member by completing an endorsement on a copy of the Chancellor’s offer letter and returning that copy to the President’s Office.

Upon receipt of a copy of the letter to the faculty member indicating the President’s decision to recommend tenure or deny tenure, the appropriate Dean or Director shall assure that the necessary on line transaction is forwarded through channels to the Human Resources Office.
